New suite of AI-powered capabilities, including AI Intake, document summarization, and natural-language search, eliminates manual data entry and gives firms back the first 24 hours of every new client relationship

WEST PALM BEACH, Fla.: CosmoLex, a leading cloud-based legal practice management platform, today announced a new set of AI-powered features headlined by AI Intake, a transformational capability that captures clean client data and automatically moves every intake forward without anyone touching it.

Client intake is the first, and often most costly bottleneck in a law firm's client relationship. Manually built forms, re-keyed data, and disconnected follow-up processes routinely delay a firm's response to new leads and create the risk of losing prospective clients in the shuffle. CosmoLex's AI Intake is designed to remove that friction entirely, turning what has historically been a time-consuming, error-prone manual process into a seamless, connected experience, all within a single platform and without the need for a separate, third-party intake tool.

AI Intake: The Premiere Feature of the Release

At the center of the launch is AI Intake, which uses artificial intelligence to instantly generate custom intake forms and convert existing legacy PDF and Word forms into digitally intuitive online forms that users can submit. Once a form is submitted, CosmoLex automatically maps the data to the correct contact and lead records, eliminating the need for manual re-keying and reducing the risk of costly errors.

From there, CosmoLex's automated post-submission workflows take over. Triggered the moment a form is submitted, the platform can automatically handle document delivery, consultation booking, and follow-up communications, often the critical first 24 hours after a prospective client submits an intake form runs without anyone needing to manually triage it.

“AI Intake is the feature we're most excited to bring to market, because it solves a problem every single law firm knows intimately: the chaos of the first 24 hours after a new lead comes in,” said Kelley Castell, CEO at CosmoLex. “By automatically generating the right forms, mapping the data correctly the first time, and kicking off follow-up the moment a form is submitted, firms can finally treat intake as a strength rather than a source of lost time and lost clients.”

A Full Suite of AI-Powered Capabilities

AI Intake is joined by a broader set of AI features designed to reduce administrative work across the firm, including:

AI Intake Form Builder - Building the right intake form for each case type has traditionally been an overwhelming task, even though the right questions are critical to reducing back-and-forth and administrative follow-up. With CosmoLex's new AI builder, firms can simply provide a written prompt describing the information they want to collect, along with formatting, sections, and required fields. The AI form builder does approximately 95% of the work, generating a ready-to-use form that firms can review, adjust, and publish - all without requiring CosmoLex's more robust CRM add-on.

Document Summarization - Built directly into CosmoLex's native document storage, this feature allows users to quickly understand what a document is about, surface key data points, and generate a bulleted outline - a highlight reel for even the longest documents. For document-heavy firms, this capability can eliminate hours of administrative review time.

AI-Powered Natural-Language Filtering - Rather than manually scouring through filters to find what they need, users can simply type in natural language what they're looking for and let CosmoLex's AI do the work of surfacing the right results.

“Firms already come to CosmoLex because they want one login and one connected view of their matters, billing, and accounting,” added Kelley Castell. “These AI features extend that same philosophy to the front end of the client relationship and to the everyday administrative work inside the platform, so firms spend less time on data entry and searching, and more time practicing law.”

Availability

AI Intake, the AI Intake Form Builder, Document Summarization, and AI-powered natural-language filtering will be available to CosmoLex customers beginning August 13, 2026.
